How to Backup your Mac
Tips & Tricks
The backup you never made is the one you’ll wish you had. Here’s every method — from quick to bulletproof.
Every week we see customers walk in with a MacBook that won’t turn on — and the first question they ask is “can you save my data?” Sometimes we can. Sometimes we can’t. The difference almost always comes down to one thing: whether they had a backup. Here’s how to make sure you’re never in that situation.
⚠ The 3-2-1 Rule
The gold standard for backups: keep 3 copies of your data, on 2 different types of storage, with 1 copy offsite (or in the cloud). If your only backup is on a drive sitting next to your Mac, a flood or theft takes both at once.
Time Machine
Most Complete
Time Machine is Apple’s built-in backup system and the most thorough option available. It backs up your entire Mac — every file, app, setting, and system preference — and keeps hourly snapshots for the past 24 hours, daily snapshots for the past month, and weekly snapshots for everything older. This means you can go back in time and recover a file you accidentally deleted weeks ago.
To set it up: plug in an external hard drive → open System Settings → General → Time Machine → click “Add Backup Disk” → select your drive. That’s it. Time Machine runs automatically in the background whenever the drive is connected.
- Use a dedicated drive — don’t mix Time Machine with other files
- The drive should be at least 2x the size of your Mac’s storage
- USB drives work fine — no need for expensive Thunderbolt drives
- NAS devices (like Synology) also work as Time Machine destinations over your home network
When a customer brings in a Mac for a logic board repair or SSD replacement, Time Machine is what lets us restore their entire system exactly as it was — same apps, same settings, same desktop. Without it, only the files can be saved, not the full setup.
Copy Your User Folder
Quickest
The simplest backup method that requires no software at all. Your entire digital life — documents, photos, music, downloads, desktop files, and app preferences — lives inside one folder: /Users/YourName/. Copying this folder to an external drive gives you everything that matters, even if it won’t restore your apps or system settings.
Open Finder → click Go → Home in the menu bar. You’ll see your home folder. Drag it to an external drive. That’s your backup. For most people this is 50–200GB and takes 20–40 minutes over USB.
💡 What’s inside your home folder
Desktop, Documents, Downloads, Movies, Music, Pictures, and the hidden Library folder (which contains app preferences and settings). Everything you care about is in here.
The downside: this method doesn’t back up your apps or macOS itself, so after a repair you’d need to reinstall apps manually. But for protecting your files quickly before bringing your Mac in for service, it’s the fastest option.
iCloud Drive
Cloud
If you enable iCloud Drive and turn on “Desktop & Documents Folders” sync, your most important files are automatically uploaded to Apple’s servers in real time. This means even if your MacBook is stolen or completely destroyed, all your documents and desktop files are safe and immediately accessible on a new Mac or iPhone.
Go to System Settings → Apple ID → iCloud → iCloud Drive and enable “Desktop & Documents Folders.” Apple gives you 5GB free — most people need at least the 50GB plan (35 baht/month in Thailand) to cover their documents properly.
⚠ Important Limitation
iCloud Drive is not a full backup — it only syncs files in your Desktop and Documents folders, not your entire Mac. It also does not protect against accidental deletion beyond 30 days. Use it alongside Time Machine, not instead of it.
Carbon Copy Cloner
Advanced
Carbon Copy Cloner (CCC) creates a bootable clone of your entire Mac on an external drive. This means if your Mac’s SSD fails tomorrow, you can plug the clone into another Mac and boot directly from it — and be back to work within minutes with everything exactly as it was.
Time Machine backs up your data. CCC backs up your entire system, making it bootable. For professionals or anyone who cannot afford downtime, having both is the gold standard. CCC is free for the first 30 days and costs a one-time fee of around $49 after that.
When we replace an SSD in a MacBook, customers with a CCC clone can be back up and running the same day. Those without any backup often wait days while we attempt data recovery from the old drive.
Migration Assistant Snapshot
Less Known
Most people don’t know that macOS has a built-in tool called Migration Assistant that can transfer everything from one Mac to another — or to a backup drive — without needing Time Machine. It’s the same tool Apple uses in stores when you buy a new Mac.
Find it in Applications → Utilities → Migration Assistant. You can use it to transfer your entire user account, applications, and settings to an external drive or directly to another Mac over Wi-Fi or a cable. This is particularly useful before bringing your Mac in for a major repair.
Backblaze Online Backup
Cloud · Less Known
Backblaze is a paid cloud backup service (~$9/month) that silently backs up your entire Mac to the cloud — not just your documents, but literally everything. Unlike iCloud which only syncs selected folders, Backblaze continuously backs up all files on your Mac and keeps deleted files for 30 days.
The key advantage over iCloud or Google Drive is that it runs completely in the background with no setup required after installation. If your home floods and both your Mac and your external Time Machine drive are destroyed, Backblaze is what saves you. It’s the offsite copy in the 3-2-1 rule.
💡 Pro tip
Backblaze can mail you a hard drive with all your data if you need to restore quickly and don’t want to wait days downloading everything over the internet. This is called a “Restore by Mail” service.
Which Method Is Right For You?
For most people — Time Machine on an external drive plus iCloud Drive for documents covers 95% of scenarios. Set it up once and forget about it.
For professionals who can’t afford downtime — add Carbon Copy Cloner for a bootable clone, and Backblaze for offsite protection. This is the full 3-2-1 setup.
Before bringing your Mac in for repair — at minimum, copy your home folder to a USB drive. It takes 30 minutes and means your files are safe no matter what happens during the repair.
